Because Aspen Hill is an unincorporated community, residents do not have a local city hall or municipal vital records office. Death certificates for Aspen Hill are available from two main sources depending on the year of death. It is run by the Montgomery County Department of Health and Human Services, not by any city office.

You can also mail a request to the Maryland Division of Vital Records at P.O. Box 68760, Baltimore, MD 21215-0036. Mail requests take four to six weeks on average. If you need a certificate quickly, the in-person route at the county office is faster -- though same-day service is not always guaranteed due to a new statewide registration and payment system that has caused some delays.

Aspen Hill Office Hours and Walk-In Access

The county vital records office keeps a specific schedule. Walk-in service is available Monday, Wednesday, and Friday from 8:00 a.m. to 11:00 a.m. On those same days, appointment-based service runs from 1:00 p.m. to 3:00 p.m. The office closes for lunch from 11:30 a.m. to 1:00 p.m.

On Tuesdays and Thursdays, the office is by appointment only. Appointment hours run from 8:00 a.m. to 11:30 a.m. and again from 1:00 p.m. to 3:00 p.m. Walk-in slots on Monday, Wednesday, and Friday mornings are first-come, first-served and can fill up early. When you arrive, check in at the lobby table before going to the Vital Records office -- skipping this step can delay your visit.

Fees for Aspen Hill Death Certificates

As of September 2, 2025, the Montgomery County fee schedule for death certificates is $18 for the first copy and $20 for each additional copy ordered at the same time. These fees apply to in-person requests at the county office.

Payment methods accepted include cash, credit card, Apple Pay, and personal check or money order. If you pay by check or money order, make it payable to "Montgomery County, MD." Do not send cash through the mail.

If you submit a mail request to the state Division of Vital Records instead of the county office, the state fee applies. The state charges $24 for the first copy and $12 for each additional copy. Mail requests go to the P.O. Box address in Baltimore, not to the county office in Silver Spring.

There is no fee waiver program at either level for most requesters. Some government agencies and legal proceedings have different processes, but standard personal requests require full payment.

Who Can Request Aspen Hill Death Records

Death certificates are not public records in Maryland. Access is restricted. You must be an authorized person to get a certified copy.

Authorized requesters include surviving spouses, parents, children, siblings, and other immediate relatives of the deceased. Legal representatives and attorneys acting on behalf of an estate also qualify. Funeral directors can request certificates as part of their professional duties. A person with a documented legal need -- such as a beneficiary on an insurance policy -- may also be eligible if they can show that need.

Acceptable entitlement documents include a birth certificate showing your relationship, a marriage certificate if you are the surviving spouse, an obituary, or a letter of administration from a probate court. Without both types of documents, the office will not process your request that day.

What an Aspen Hill Death Certificate Contains

A certified Maryland death certificate includes the full legal name of the deceased, date and place of death, time of death, cause of death as listed by the attending physician or medical examiner, and the manner of death. It also shows the deceased's date of birth, Social Security number, last known address, race, and marital status at the time of death.

The certificate lists the name of the informant who provided the information, which is usually a family member. It records the funeral home involved, the place of final disposition, and the name of the certifying physician or medical examiner. The registrar's signature and the state seal confirm the document as a certified copy.

Certified copies are used for legal purposes. Common uses include settling estates, claiming life insurance, transferring property titles, closing bank accounts, and applying for survivor benefits through Social Security or pension programs. Some foreign governments and courts require certified copies for international matters as well.

The county office in Silver Spring only has records for deaths from January 2015 onward. If the person you are searching for died before that date, you need to go to the Maryland State Archives in Annapolis.

Some very old records from the early 1900s or late 1800s may be incomplete or missing entirely. Pre-1900 death registration in Maryland was not fully enforced, so gaps exist. The Archives staff can help you find alternate sources like church records, cemetery records, or newspaper death notices if the official record is missing.

Online and Third-Party Options for Aspen Hill Death Records
